HubSpot Self-Check
The 5-minute HubSpot self-check

5 silent HubSpot revenue leaks

We've audited 250+ HubSpot setups. The same five problems show up in almost every one, and the dangerous part is they're silent. Nothing breaks loudly, the dashboard still looks fine, and revenue just quietly slips out the side.

Tick the ones you find in your account. None of these need a developer. Total time: about five minutes.

01

A revenue workflow that quietly stopped

A follow-up, nurture, or quote sequence errored out, stopped enrolling, or got switched off "just for now" and never came back. Enrollment quietly drops to zero and nothing alerts you.
Every lead that should have been followed up simply isn't. We've found sequences sitting dark for eight months while the pipeline looked normal.
How to check it · 60 sec
  1. Open Automation → Workflows.
  2. Look at your key active workflows (follow-ups, nurtures, quote sequences).
  3. Any showing near-zero enrollments in the last 7 days, or a red error on a step, is leaking.
02

Inbound leads slipping through the cracks

New contacts arriving with no owner, a form or routing rule that quietly changed so leads land in a list nobody watches, or an assignment notification that's switched off.
Usually the most expensive leak. Leads you already paid to generate, going cold before anyone talks to them. Speed to first touch drives conversion.
How to check it · 60 sec
  1. Go to Contacts.
  2. Filter: Create date = last 90 days AND Contact owner is empty.
  3. If that list isn't basically zero, new leads are slipping through unassigned.
03

Open deals with no next step

Deals sitting in the pipeline with no task scheduled and no recent activity. They aren't marked lost. They're just rotting, and they still inflate the forecast.
Winnable deals die from neglect, and your forecast is built partly on deals that are already dead.
How to check it · 60 sec
  1. Go to Deals.
  2. Filter open deals where Last activity date is more than 14 days ago, or Next activity date is empty.
  3. Everything in that list is rotting, and inflating your forecast.
04

Money asleep in your database

Contacts and old leads nobody has touched in a year or more. You paid to acquire them, and now they just sit there.
The leak with the fastest payback. There's almost always real pipeline hiding in a database that's never been re-engaged. It's demand you already bought.
How to check it · 60 sec
  1. Go to Contacts.
  2. Filter Last activity date is before 12 months ago.
  3. The size of that number is roughly the size of your re-engagement opportunity.
05

Your HubSpot emails quietly landing in spam

Your sending domain was never fully authenticated, so sales sequences and marketing emails get filtered to spam or the Promotions tab. HubSpot says "sent." It doesn't say "never seen."
Your entire outbound and nurture effort, silently throttled. The best copy in the world doesn't matter if it never reaches the inbox.
How to check it · 2 min
  1. Send a HubSpot email to a personal Gmail or Outlook address.
  2. Check where it lands, the Primary inbox, or Spam / Promotions?
  3. In Settings, confirm your email sending domain is authenticated (SPF and DKIM).

How many did you find?

That's normal. Almost every HubSpot we open has a few of these running quietly in the background, they're easy to miss precisely because nothing looks broken. If you want a second set of eyes, this is exactly what we do: we get inside your HubSpot, find what's leaking, and fix it. The same team that finds it builds the fix, so nothing gets lost in a handoff.
